Scheduling Periods

The CRES Office has established the following scheduling periods for affiliated groups.  Requests submitted outside of these scheduling periods will be denied, and must be re-submitted on the appropriate date.

Special Events- Fall/Spring

We are currently accepting all requests for special events, through May 10, 2026. You can submit your request using our Reservation Request form.

The Advance Reservations process will begin in April of each year, but has ended for the 2025/2026 academic year. Advance Reservations allows groups to submit requests early for special events for the next academic year 

Recurring Meetings & Academic Spaces- Fall/Spring

Requests for recurring meetings and/or academic space will be accepted during the following scheduling periods: 

  • Fall requests are accepted on August 1 or the first business day after.  Requests for Fall 2025 will be accepted on Friday, August 1
  • Spring requests are accepted on November 1 or the first business day after.  Requests for Spring 2026 will be accepted on Monday, November 3

Recurring meetings take place at regularly scheduled intervals (weekly, monthly), and typically take place during normal building hours, and typically have minimal AV needs.

Fall 2025 Academic Classroom Requests

The CRES Office schedules academic classrooms for meetings and events on a semesterly basis under the following conditions.  All reservations will be tentative and subject to change prior to add/drop if any space is needed to accommodate academic classes.

Campus departments

Campus departments may request academic spaces with no restrictions, other than the information included above.

If you are a faculty or staff member and have a classroom request that is related to receiving course credit for students in the class, please cancel this request and send an email to regscheduling@charlotte.edu outlining the specifics of your request. The Office of the Registrar will assist with reserving a space.

Registered Student Organizations

  • Friday August 1- student organizations may request classroom spaces for Fall 2025 for meetings or events that start:
    • AFTER 5pm Mondays-Thursdays
    • AFTER 1pm Fridays
    • ANYTIME on Saturdays or Sundays
  • Tuesday, August 26- student organizations may request classroom spaces at any time for Fall 2025

Summer

We will begin accepting request for Summer 2026 in March 2026. Exact dates will be announced later. 

Summer is considered to be between Spring commencement and the beginning of the Fall semester.
